Plan Your Event


Welcome to Chartwell's Catering!


Our mission is to provide you with exceptional quality, exceptional service and a creative cutting-edge culinary experience.


To determine room availability and other pertinent information such as your menu, audio/visual needs, and basic room arrangements. Please fill out a form at:

This will ensure that your room is reserved and will help facilitate the process in getting your catering needs met. The Elmhurst University Office will enter your reservation in the system and assist you with coordinating your event. When entering the event order, please provide an estimated guest count. All event details (with the exception of the final guarantee) should be arranged a minimum of 2 weeks prior to the event.


Our professional staff is available to assist in planning your special event Monday-Friday 9:00am - 5:00pm. Please contact our Catering Sales Team at 630-617-3437 or email Michelle.rohde@compass-usa.com for customized service, menus and proposals. Based upon the nature of the event, there may be additional charges or fees that will apply. For further details concerning these fees and event information please contact the catering office.


Quick tip: When planning an event over 100 guest we recommend contacting our catering team 1 month prior to start the planning process.


Guarantee Number


Our policy requires a final guarantee (5) business days prior to your scheduled event and may not be decreased once confirmed. The guarantee will provide the count for minimum billing unless the number present exceeds the guaranteed figure. In the event the guest count exceeds the guaranteed number on the day of the event, we will make every effort to accommodate your guests. Please inform the Office if your anticipated guarantee is significantly different than your estimate.


Confirmation/Billing


Confirmation and account numbers are both necessary prior to your event. Upon completion of your event, a final invoice will be sent to you by email. Please verify the charges and account number and return it to donnas@elmhurst.edu in the Financial Affairs office. If paying by credit card please provide card info no later than 5 days before the event.


Cancellations


If you need to cancel your plans, a notice is required (3) business days prior to the date of your event. If your event is cancelled with less than (3) business days’ notice additional charges may apply.


Late Orders


We understand events may arise unexpectedly and we will do our best to accommodate your needs. If scheduling an event less than 48 hours before the start of the event, a 15% or $50 (whichever is greater) late charge will be added to the final bill.


Dietary Requests


Please let us know of any special dietary requests (vegan, vegetarian, avoiding gluten or other allergies) and we will do our best to provide reasonable accommodations with prior notice.


Food Policy


Food safety and sanitation is a top priority for us. Any unused food remains the property of Chartwell's Catering and cannot be removed from an event in accordance with state health regulations. All condiments and disposables also remain the property of Chartwell's Catering.


China Service


Available upon request rental charges may apply. All Events Requiring China Service will be charged $2.50 per person.


Linen Service


House white and black linens are used for food, beverage and bar services with no additional charge. Square 85 x 85 or 72 x72 white house linen will be provided complimentary at rate of 1 linen per 10 guests. Additional lines are $8.99 each. Round 120 and 130 house linens are available at fee $13.99-$16.99 Any specialty linen must be requested in advance and will incur additional charges. A/V Needs


Elmhurst University Office must be notified of any special services such as AV needs, electrical connections, table, and chair set-up, staging etc. Please request all AV needs when reserving a room and setting up the event at http://apps.elmhurst.edu/scheduling-request/default.aspx.

Attendants


Attendants are required for all hot buffets and most cold buffets above 25 guests, whether breakfast, lunch, dinner, or a reception. The exact number of attendants will be based upon the number of guests in attendance, the nature of your menu and timeline for the event. The fee for attendants is $35.00 per person, per hour.


Quick tip: one attendant as a minimum is required for every 25 guests and one server per 10-12 guests for platted meals.


Liquor Laws/Bartenders


Any event that requests beer or wine must procure the necessary permission from the Financial Affairs office. Chartwell's Catering is the sole provider of alcoholic beverages. No alcoholic beverages are permitted to be brought in from an outside source. A bartender fee of $35.00 per person, per hour will be added to events providing bar service. One bartender is recommended per 75 guests. Please contact the catering office for more information.


Exclusivity


Chartwell's holds exclusive food and beverage rights on the Elmhurst University campus unless permission is obtained from the Director of Dining Services at 630-617-3183.
